Entering Business Settings

Tapping the business listed in the Settings screen displays the Business Settings screen, which you can use to change general information about the business, including the financial year end date, tax details, invoice information, etc.

You can also use the screen to delete the business entirely, but please note that if you do this, all data for that business is also deleted.

The screen contains the following sections:

Business Settings

Business Name

This specifies the name of the business, as listed in the Businesses screen.

Email Address

Specify an email address for the business. Easy Invoice adds the email address to any emails you send from Easy Invoice that relate to the business, such as those containing a report, invoice or delivery note. The email address is added to the „To” or „Bcc” field of the email, depending on the type of document you send.

 

Year End

Next Year End

This specifies the date of the last date of the financial year. Easy Invoice uses this date when running reports that run over a range of dates to default the date range to the current financial year.

 

VAT

The following settings are available in this section:

Tax Registered?

Choose Yes if the business is registered for VAT, GST, IVA etc. If the business is not registered for tax, choose No to reduce the number of options, accounts and and other information displayed in Easy Invoice.

VAT Scheme Name

If you are operating a compatible scheme using a different name, such as GST or IVA, enter the name here. With the exception of account names, Easy Invoice changes all instances of „VAT” to the text you specify. You may want to tap All Tax Accounts and use the Accounts screen to change the names of your VAT accounts too.

Standard Rate (%)

Specify the standard VAT rate.

Easy Invoice uses the value you specify here as the default VAT rate in the „VAT sale standard” account. This determines the VAT content when you choose the standard rate in, for example, the Customer Sale screen.

Reduced Rate (%)

Specify the reduced tax rate.

Easy Invoice uses the value you specify here as the default VAT rate in the „VAT sale reduced” account. This determines the VAT content when you choose the standard rate in, for example, the Customer Sale screen.

All Tax Accounts

View a list of all tax accounts you have set up in Easy Invoice. Tapping one of the tax accounts listed allows you to change the name and the percentage tax rate used for new entries.

 

Invoices

Use the settings in this section to enter information about the business that will appear in estimates, sales invoices and customer statements. See Entering Invoice Settings for details.

How many businesses can I have? Show

You can have up to 3 businesses with each subscription.

How many devices can I have? Show

You can have as many iOS, Android, Windows or Mac devices as you need to run your business. An example might be to use a device for a salesperson to invoice orders whilst with a client. Another might be for your bookkeeper to create reports in his office. Each device can have full access and update capability, or restricted abilities depending on the function you assign to them – See FAQ 11 for instructions on how to register and use new devices. Also, see Add other Users, which explains how to share EasyInvoice with colleagues.

How many invoices and estimates can I create? Show

You will have unlimited transactions for anything in EasyInvoice.

Can I share my business data with my partner, salesperson or accountant? Show

You can share specific businesses with up to 6 other users. This may be useful for sharing your business with your accountant or a business partner to specify what they can see, and whether they are able to add-to or edit business transactions. See Sharing for details about how to do this.
